Wheeler Avenue Baptist Church
Fall Fest privacy notice
Last updated: October 16, 2026
This notice explains how we handle information for Fall Fest with STEAM on steam.wheelerbc.org. Read it alongside the church privacy policy, which covers our broader privacy practices and requests.
Information you share
Registration asks for your name, email address and phone number. Party information includes the number of adults and, if you choose to provide it, children in age groups. We also record communication choices, registration status, check-in, exhibit bookings and waitlist activity.
When you contact us, we receive your name, email address, subject and message. Please include only what we need to respond; do not send passwords, payment details or confidential personal information.
Saving progress and follow-up
Selecting “Save & continue” on step one saves your contact details as an unfinished lead, even if you do not submit the remaining steps. The church can see whether you saved your details or completed registration. Saved leads and completed registrations are also sent to our GoHighLevel contact-management system for event administration and follow-up.
An unfinished-registration reminder is optional and is sent only if you select that choice. General email updates and marketing text messages have separate, optional choices. You can register and attend without agreeing to marketing messages. Service messages about your registration or a request you make are handled separately.
Use the unsubscribe link in an email, where provided, or contact the church about your preferences. For marketing texts, reply STOP to opt out or HELP for help. Message and data rates may apply.
Who handles event information
Authorized church staff and event volunteers use information relevant to registration, attendance and event operations. Providers support these services: Convex stores and processes event records; Vercel hosts the website and provides website analytics; Cloudflare supports form security and event email delivery; GoHighLevel supports contact management and follow-up. WorkOS handles staff sign-in.
Contact-form messages are sent to the church team at rtate@wheelerbc.org. The church privacy policy explains additional sharing, security and international-processing considerations.
QR codes, campaign links and browser storage
QR codes and campaign links can identify a source such as an LED screen, yard sign, website or social media post. We save approved source labels with leads and registrations to understand which channels bring people to the event. A bounded source record can also be kept in your browser session for up to 24 hours as you move between pages.
Essential cookies and similar storage support saved progress, secure access, check-in and booking. Security tools may process technical information to protect these services. Optional website analytics is currently controlled by an event setting. When cookie controls are disabled, optional analytics and the cookie banner stay off. When enabled, Vercel website analytics loads only after you allow it and measures public-page visits without registration answers or URL query strings. Analytics is excluded from staff, account-access, verification, check-in and booking pages.
Use “Accept optional,” “Reject optional,” or “Manage choices” when the cookie notice appears. While cookie controls are enabled, you can change your choice at any time using “Cookie preferences” in the footer. A design preview does not save consent or enable tracking. Your choice is remembered for up to 180 days; optional tracking stays off when your browser sends a Global Privacy Control signal. These choices do not change email or text subscriptions or source labels saved with registration.
Meta advertising tracking is not enabled. Previous cookie preferences recorded before these controls do not authorize tracking under this notice, and we will ask for a new choice before enabling Meta tracking.
As of this notice date, this event website has no active Meta advertising pixel. Facebook, Instagram and other services you use to reach this site handle information under their own policies. We will update this notice as event tracking practices change.
How long information is kept
Unfinished form progress expires after seven days. You can use “Remove saved answers and start over” to remove the saved form progress. This does not automatically delete contacts already synced to GoHighLevel, completed registrations, communications or administrative records.
The application keeps an encrypted copy of a contact-form message for seven days, including when delivery fails. Delivered messages may remain in the church mailbox. Other event and contact records are retained according to their purpose and the church privacy policy. Ask us about access, correction or deletion rather than assuming that clearing browser storage deletes submitted information.
Parents, guardians and children
An adult should complete registration and provide any information about children in their party. The party form asks for counts by age group, not children’s names or dates of birth. Please do not put a child’s identifying or sensitive information in a contact message.
